We are looking for an Executive Assistant, Program Coordinator who will be responsible for a wide variety of activities and tasks, supporting the Chief Aftersales Officer. In this role, you will be a valuable member of the Aftersales team and will support with a robust range of duties including composing various forms of correspondence and communications for both internal and external purposes, managing active and complex itineraries, travel plans, agendas, and appointments, compiling and assisting with the preparation of various documents, reports, analyses, and presentations for meetings, as well as, preparing expense reports.   • Monitor and track progress of all ongoing aftersales programs. Advise Business Owners of any at risk projects. 
  • Update weekly and monthly reports as required
  • Provide direct support to the Chief Aftersales Officer and Aftersales Directors as required
  • Prepare travel schedules, book travel arrangements, and make reservations for Aftersales Managers and Directors
  • Work with other members of the Aftersales leadership teams and assist with the planning, organizing, and monitoring of various functions and special events attended by internal and external guests
  • Coordinate logistics of executive team programs including meetings, seminars, workshops, special projects, and events
  • Prepare draft reports, background documentation, and research
  • Facilitate communication between department managers, business unit leaders, and project managers
  • Assist with the preparation of team meeting agendas along with capturing and distributing meeting minutes and action items
  • Assist with the preparation of presentations
  • Assist with any planning or implementation documentation and organization
  • Assist with the creation of proposals for aftersales projects
  • Assist with creation of Purchase Requests, submission of expense reports, and review all aftersales invoices as requested
  • Participate in mystery shopping as required
  • Other duties as assigned


  • Post-Secondary Diploma in Business Administration, or relevant discipline, preferred
  • Minimum 3 years of automotive experience preferred
  • Experience providing support to a high volume department
  • Experience preparing proposals is an asset
  • Bilingual in English and French or English and Vietnamese is an asset
  • Proven organizational and time management skills with a keen eye for detail
  • Strong interpersonal, communication and customer service skills
  • Exercise a high degree of professionalism and diplomacy in interactions with all levels of the organization
  • Demonstrated problem-solving and critical-thinking skills
  • Self-motivated, reliable and follows through on commitments
  • Solutions-focused, patient, strong work ethic, and desire to achieve excellence
  • Highly resourceful, flexible, and adaptable in a rapid and changing, cross-cultural work environment
  • Excellent computer skills, proficient with Outlook, PowerPoint, Excel, and Word,
  • SAP and Project Management tool experience an asset
