How you will contribute as part of the TRCA team:

  • Manage daily intake of all planning and permit applications including screening for completeness, scanning, and enter data. Close file records as directed. Liaise with clients and staff to ensure information is complete and deadlines are met.
  • Provide direct customer service to the public through responding to inquiries and supporting planners as requested. Perform reception duties, greeting and directing visitors as required.
  • Provide limited executive assistance to the departmental senior staff, including review of staff timesheets, booking meetings, and assisting with the preparation and formatting of correspondence, reports, and presentations. Prepare agendas and minutes as requested. Perform tasks with limited direction.
  • Independently ensure timely preparation, review and processing of permits, violation notices and board reports, including ensuring quality control to meet corporate standards, such as content, format, and general proof-reading.
  • Update departmental checklists, guidelines, standard operating procedures, and template letters, as requested and with limited direction. Administer updates to departmental sections of the corporate website.
  • Assist with on and off-boarding processes as per Human Resources standards.
  • Independently administer departmental program related to computer and technology needs. Ensure departmental equipment is managed in a state of good repair.
  • Train new staff on departmental administrative requirements and workflow as required. Ensure departmental quality control of administrative processes and requirements based on defined standards.

What will you need to succeed:

  • Post-secondary education in office administration and 2 years minimum experience related to major responsibilities.
  • Strong working knowledge of Microsoft Office 365 and SharePoint applications (Word, Excel, PowerPoint, Teams) required. Working knowledge of Visio, Planner and Flow considered an asset. Ability to work within other databases such as Lotus Notes, Laserfiche and Business World considered an asset. Experience with web-based content management systems considered and asset. Ability to screen projects using GIS software tools considered an asset.
  • Excellent written, verbal communication skills, as well as strong interpersonal skills required.
  • Strong analytical, organization and attention to detail skills required. Strong design and graphics skills considered an asset. Track record for process improvement and streamlining to improve departmental and divisional efficiencies.
  • General understanding of municipal or conservation planning processes considered an asset.
