Situated in Downtown Banff, our busy Head Office coordinates and supports the activities of our hotels, restaurants, spas, cinema, and retail outlets.

Are you looking to grow your career in hospitality, sales and event management?  The Senior Events Coordinator is the lead in our team of professional event and group coordinators at our Head Office in Banff.

 

The Senior Events Coordinator is an integral role in our sales strategy and works with a team to conceptualize, propose and implement events for our 13 hotels and 6 restaurants. The role is dedicated to planning logistics and recognizing opportunities to maximize revenue, initiatives and partnerships where you will cultivate professional relationships and produce outstanding events.  This position is not required to be onsite for each event and the schedule is most often Monday – Friday with an occasional event outside of office hours.   The right person for this role lives in the Bow Valley and plans to stay for at least a year while growing an amazing career (and enjoying a great lifestyle that we have here).

Duties and Responsibilities

 

  • Prepare files including contracts, room blocks, charge routing, BEO’s and templates.
  • Prepare documents for high-end group meetings, larger Corporate Events and Special Events
  • Communicate via telephone, email and Zoom
  • Site Inspections and meeting onsite with clients
  • Attend quarterly Business Event Meetings at Banff Lake Louise Tourism
  • Follow up to event inquires and follow through with the sales and booking process
  • Ensure group rooming lists are entered in a timely and accurate manner
  • Assist with the administration of key group accounts and events
  • Assist the sales team to sell rooms, event space and food & beverage services.
  • Ensure booking information is efficiently and effectively communicated to all departments
  • Ensure all group files are complete and ready to be passed to the hotels for event execution
  • Update information on external web sites, such as Hotelplanner.com.
  • Maintain sales kits to be distributed at hotels
  • Prepare group invoice
  • Communicate with Corporate Clients and Wholesalers for availabilities and rates, and create contracts.
  • Other tasks and projects as required

 

Skills and Experience

  • 2 years experience in a similar role is preferred
  • Professional, accountable, flexible and responsive
  • Demonstrates the ability to help guide a small team of Event/Group Coordinators
  • Outgoing personality with commitment to providing a high level of customer service
  • An excellent communicator who is effective in choosing the communication tools and techniques in a time sensitive environment
  • Is proficient using a computer and relevant software including MS Office Maestro (or another PMS), Event Diagramming (Social tables), managing content on other websites such as Wedding Wire
  • Experience in quoting RFP’s
  • Has strong organizational skills and excellent attention to fine details
  • The ability to maintain a light hearted, positive attitude in a fast-paced environment.
  • A multi-tasker who works well independently and as a team member.
  • Ability to work a set schedule Monday – Friday with flexibility to work some weekends and holidays.  Travel is required (Meeting show / bridal show).
  • Is fun and enjoys their work
